Plan Your Mesa Quince Month by Month With Every Vendor in Sync

To plan a quinceañera in Mesa, lock in the church and the hall first, then book the vendors who depend on that date: photo and video, DJ, choreographer, gown, cake and invitations. This timeline tells you what to do at 12, 9, 6 and 3 months, one month out and the week before, and how photo and video fit with each vendor.

We don't recommend or rank other vendors. We give you the order of decisions and the questions worth asking, based on what we've seen at more than 500 events since 2004.

What We Learned Working Side by Side With Other Mesa Vendors

For several years, IAZ Photo Studio had its studio in Mesa, in the same building as a DJ company and across the street from an event hall. Families who came in for photos were also looking for music and invitations, and in those years we printed invitations too. We saw up close how a celebration day comes together: when the DJ, the hall and the photographer talk beforehand, the entrance, the waltz and the cake happen on time and look good on camera.

We also learned to promise realistic dates. Once, a print order for a Mesa hall got stuck in shipping right before a bridal expo. Cristobal Varela drove to California for the boxes and delivered them on time. It worked, but the real lesson was different: when you depend on other vendors, ask for dates with room to spare. Cristobal Varela (opens in a new tab), Co-founder and Director of Photography, tells that story in the book he's writing about his years as a photographer.

A Month-by-Month Timeline for Planning a Quinceañera in Mesa

Use this order as a guide. If your celebration is sooner, do the same steps closer together.

12 Months Out: The Date, the Church and the Hall

  • Pick two or three possible dates and ask your parish about its requirements for a quinceañera Mass.
  • Tour halls with the question list in our Mesa venue guide.
  • Set a budget and a rough guest list.

9 Months Out: Photo and Video, DJ and Choreographer

  • Book photo and video as soon as you have a date and a hall. See our quinceañera photo and video packages: $2,150, $3,250 or $4,995 for 8, 10 or 12 hours.
  • Book the DJ and the choreographer, and choose your court of honor so rehearsals start on time.

6 Months Out: The Gown, the Cake and the Decor

  • Ask the shop how long your gown takes and whether it needs alterations.
  • Choose your colors. They help the hall, cake, flowers and invitations match in your photos.

3 Months Out: Invitations and the Pre-Event Session

  • Send invitations early enough for guests to RSVP.
  • Schedule your pre-event photo session. It must be at least 2 weeks before the celebration. Pick the spot with our guide to quinceañera photo locations.

One Month Out: The Itinerary and the Balance

  • Send us your itinerary. Our contract asks for it one month before the event, and any changes are sent in writing.
  • Pay the photo and video balance, which is due in full one month before the event.

The Week Before: Confirm With Everyone

  • Confirm times and addresses with every vendor.
  • Share the same itinerary with the hall, the DJ, the choreographer and us, so everyone works from the same clock.

How Photo and Video Fit With Each Quinceañera Vendor

Every vendor touches a moment we want to capture. Here's what to coordinate with each one.

Vendor What to coordinate for your photos and video
Church The parish's rules for photographers and the exact Mass time. The drive to the hall counts inside your hours.
Hall Vendor arrival time, whether they raise the lights for the waltz, and when the party ends.
DJ Announcing the entrance, the waltz, the toast and the cake when the cameras are ready.
Choreographer The order of the dances and whether there's a surprise dance.
Gown Whether there's an outfit change, and when.
Cake What time it's cut and where it sits in the hall, so it gets good light.
Invitations Colors and names that match the decor of your celebration.

The Itinerary We Ask for One Month Before the Event

The itinerary is the schedule of your day. It should include:

  • The addresses for getting ready, the church and the hall.
  • The time of each moment: getting ready, Mass, family photos, entrance, waltz, toast, surprise dance, cake and last dance.
  • The name and phone number of a family point person for day-of questions, plus the DJ and the hall coordinator.

Our coverage runs in continuous hours: driving between locations and waiting time count inside your hours. It ends at 10:00 p.m.; after that, extra time is billed at $150 per hour. A good itinerary puts your hours where they matter most to you.

What to Share With Your Photographer and Videographer Before Your Quinceañera

The more we know, the fewer moments slip by.

  • Your priorities. The three photos you can't miss, like your entrance, the waltz with your dad or a photo with your grandparents.
  • The surprises. Tell us about a surprise dance, a mariachi or a guest flying in, even if it's a secret from the family. A secret kept until the last second can end up missing from the video.
  • Family names. Parents, godparents, chambelanes, damas and grandparents, so we can call them for group photos.
  • Sensitive details. Relatives who'd rather not be photographed together, or grandparents who need help getting around.

Booking Terms That Matter for Your Timeline

These terms help you decide when to book. Your contract sets the final terms.

  • A $500 deposit holds your date. It's non-refundable and comes off your total.
  • You pay the rest in monthly installments, paid in full one month before the event.
  • The deposit is the cancellation fee, not an extra charge. If you cancel less than 4 months before the event, everything paid is lost.
  • You can change your date once, 4 or more months ahead, if the new date is open.

Every package includes a one-hour pre-event photo session. If you only want portraits, see our quinceañera photo sessions. And see how we cover the whole day on our quinceañera photo and video in Mesa page.
